This Privacy Policy explains how TrueVisit ("TrueVisit", "we", "us" or "our") collects, uses, discloses and protects information when an insurance agency ("you", "your agency") uses our quoting and comparison platform, and when that agency's website visitors ("your customers") submit information through it.
By creating a TrueVisit account or using a website that embeds our quoting platform, you agree to the collection and use of information as described in this policy.
1. Information we collect
We collect three broad categories of information:
- Account information. When your agency signs up, we collect your name, email address, phone number, agency name, billing details and the branding information you choose to add (logo, colours, contact details, social links, website URL).
- Customer quote information. When someone uses a quoting form on your website, we collect the details needed to generate a quote — for example dates of birth or ages, travel or coverage dates, coverage amounts, province, and answers to eligibility questions such as pre-existing conditions. This information belongs to your agency; we process it on your behalf so the quoting engine can function.
- Technical and usage information. We automatically collect information about how the platform is used — pages visited, quotes generated, browser and device type, IP address, and similar diagnostic data — to keep the service reliable and secure.
2. How we use information
- To provide, operate and maintain the quoting, comparison and administration platform.
- To process subscription payments and send billing-related communications.
- To generate the instant quotes and benefit comparisons your customers request.
- To email a quote or comparison when your customer or you asks us to.
- To respond to support requests and platform-related enquiries.
- To detect, investigate and prevent fraud, abuse and security incidents.
- To improve the platform's reliability, performance and features.
We do not sell personal information, and we do not use customer quote data to advertise to your customers.
3. How information is shared
We share information only where it is necessary to run the service:
- Payment processing. Subscription billing is handled by Stripe. TrueVisit does not store full payment card numbers.
- Email delivery. Transactional emails (quotes, comparisons, verification codes, notifications) are sent through our email delivery provider.
- Hosting and infrastructure. Information is stored on infrastructure operated by our hosting provider, with access limited to what is required to run the platform.
- Legal requirements. We may disclose information if required to do so by law, regulation, or a valid legal process.
We do not sell, rent or trade personal information to third parties for their own marketing purposes.
4. Data retention
We retain account and quote information for as long as your agency's account is active, and for a reasonable period afterward to meet legal, accounting and record-keeping obligations. You can request deletion of your agency's data at any time — see Section 7 below.
5. Security
Access to the platform is protected by passwordless, one-time-code authentication. Each agency's data is isolated from every other agency's. We use industry-standard measures including encrypted connections (HTTPS), CSRF protection, and an administrative audit trail recording who changed what and when. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
6. Cookies
We use essential cookies to keep you signed in and to protect forms from abuse (including Google reCAPTCHA, where configured). We do not use cookies for third-party advertising.
7. Your rights
Depending on where you or your customers are located, you may have the right to access, correct, export or request deletion of personal information we hold. Agencies can manage most of their own information directly from the admin portal. For anything else, or if you are a customer of one of our agencies and want to reach the agency you dealt with, contact us at info@trupax.ca and we will help direct your request.
8. Children's privacy
TrueVisit is business software intended for use by insurance agencies and their staff. It is not directed at children, and we do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page.
